Practice settings define the organisation and the rules behind everyday work. Set them up before relying on the schedule, task deadlines or billing documents. Access to individual settings depends on your team role.
Confirm the organisation and locations
Review the practice profile, contact details, logo and locations. Check the timezone carefully: it provides the context for scheduling and work-queue deadlines. Staff working remotely should use the practice's configured context when interpreting appointment and due times.
Review billing identity and location details with the person responsible for invoicing. A public-facing business name and the entity issuing a billing document may serve different purposes; enter the correct details in the corresponding fields.
Set up the schedule
- Create resources. Define the clinicians, rooms or other resources represented in your schedule using the supported resource setup.
- Set weekly shifts. Record when those resources are available.
- Configure visit reasons. Define the reasons staff select when booking and their relevant duration or scheduling settings.
- Review buffers and capacity. Use the available controls to reflect how the practice actually handles bookings.
- Check the working schedule. Confirm the resulting availability before staff begin booking against it.
New shifts open their slots automatically. After reactivating a resource, use Refresh bookable schedule to open its weekly shifts over the next eight weeks. When changing setup, review affected bookings as well as the new availability.
Give the team the right access
Use team roles to manage membership. Staff need an existing verified account using the email address added to the team. Check both the organisation and role when someone cannot see a tool.
Clinical approval and practice membership remain separate. A person can belong to the practice without being authorised to perform a veterinarian's clinical review or signing action.
Manage public profiles separately
Authorised owners and managers can use Public profiles in practice settings to manage the team's service listings. A listing describes the business to the public; it does not expose the practice's operational workspace or patient records. See the public profile guide for creation, management requests and publishing.
When a setting is unavailable
Some modules require enablement for the practice. If a section is missing, confirm membership, role and module availability with the practice owner or support. Do not create a duplicate organisation simply to find a missing control; it separates the team from its existing records.
