Practice reports summarise the operational records your team has entered. Use them to review activity over a period and identify questions worth investigating in the underlying schedule or patient-flow records.
Choose the period
Open Reports and select the date range you want to review. Custom ranges include both the start and end date and can cover up to 366 days. Check the practice timezone when comparing a report with a diary or another system.
Use comparable periods when looking for a change. A partial week and a full week can differ because of their coverage, not because the practice's workload changed.
Understand the measures

Flow percentiles describe the distribution of recorded durations. They should be read alongside the number and type of visits, not as a judgement about an individual patient or staff member.
Missing or inconsistent source data affects the report. For example, leaving a visit in an earlier whiteboard state can distort its recorded elapsed time. Correct the underlying record through the appropriate workflow rather than treating the report as a separate editable spreadsheet.
Export a report
Set the required dates and use the available CSV export. Check the filename and selected period, then open the file to confirm it contains the intended view before sharing it with a colleague.
An exported report is a snapshot. If the team later corrects appointment outcomes or flow states, generate a new export when you need the updated figures. Follow the practice's handling rules for any client or patient information in exported data.
Keep operational and billing questions separate
These reports cover appointments and patient flow. For invoices, recorded payments, end-of-day reconciliation and estimate variance, use the Billing views.
If a figure looks unexpected, start with the date range and filters, then check the relevant appointment or whiteboard record. A missing Reports entry can mean that your role or the practice's enabled modules do not include it.
