Book & check in appointments
Book and reschedule practice appointments, link patients, check in arrivals and move into the visit’s clinical episode and whiteboard.

Open Schedule in your practice workspace. Times follow the practice's timezone. Booking and Whiteboard must be enabled for your practice.
Book a visit
- Search for the patient in Patients and choose Book appointment, or begin from Schedule.
- Choose the location, patient, appointment details, and an available time.
- Review the selection and confirm the booking. Check that the appointment appears in the diary.
Register a new patient first if needed. If an appointment was made without a patient, open it and use Link patient before checking in.
Choose the working view
Use the agenda for an ordered view of bookings and the grid to review time and resources together. Check the date, location and resource before judging availability. A resource needs configured shifts and a suitable visit reason before its available slots can be offered.
New shifts open slots automatically. After reactivating a resource, a manager can refresh the bookable schedule to open its weekly shifts for the next eight weeks. See schedule setup for resources, shifts, booking reasons, buffers and capacity.
Change an appointment
Open the appointment for its available actions. Use Move to reschedule; on desktop you can also drag an appointment and confirm the new time. A conflicting or newly unavailable slot cannot be booked: choose another time. Record cancellations and no-shows against the original appointment.
If no slots appear, ask an owner or admin to check Settings → Schedule setup for the location, staffing, and availability.
Check in and manage the visit
Choose Check in when the patient arrives. This opens the care episode used for the visit; booking alone does not open it.
Use Whiteboard to see the day's patients and advance their status as care progresses. Use the available undo action to correct an accidental transition. SOAP note opens the clinical note for that visit.
