Receive stock, review batches and expiry dates, record stocktakes and adjustments, and connect dispensing with the practice’s visit and billing workflow.

Open Inventory in a practice with the inventory module enabled. Stock is tracked by item and batch, including lot and expiry information.
Find the item and batch
Use the catalogue and available low-stock, expiring-stock and controlled-item filters to find what needs attention. Check the item, unit and batch before recording a movement. Similar product names can represent different strengths or pack sizes.
Movement history explains why a balance changed. Review it before making an adjustment so a delayed receipt or an earlier dispensing entry is not counted twice. Stock figures reflect the recorded movements; they are not a substitute for a physical count.
Receive a delivery
Choose Receive, select the item, and enter the quantity and batch details. Check the unit, lot, and expiry date before saving. Confirm the new stock level after the delivery is recorded.
Correct or count stock
Practice owners and admins can use Adjust for a stock correction and Stocktake to record a count. Check the item and batch carefully. These operations create stock movements so the change remains traceable.
Dispense during a visit
The clinical note workflow can record dispensing from inventory. Check the item, quantity, and batch before confirming. Expired stock needs an explicit audited override; it is not silently treated as available stock.
Uninvoiced dispensing can feed the invoice composer. An item without a price needs attention before it can become an invoice line. See billing.
Review a discrepancy
If a count differs from the displayed balance, check the batch, unit and recent movements first. Use a stocktake or a reasoned adjustment through the authorised workflow once the discrepancy is understood. Repeating a receipt to force a balance can obscure what actually happened.
If an action is unavailable, check your practice role and whether the inventory module is enabled. Stock-changing permissions may differ from permission to view the catalogue.
Scope of the inventory tools
Inventory covers receiving, stock movements, counts, and dispensing. Supplier purchasing and a controlled-drug register are not included. Use your established process for those activities.
